How to check whether a PDF is print ready

A PDF that opens correctly is not necessarily safe to print. This method focuses the preflight on properties that can materially change the production result.

1. Finished size, page boxes and bleed

Compare the requested finished size with the TrimBox. MediaBox describes the physical PDF page, CropBox its viewing area and BleedBox the declared bleed area. Presence alone is not enough: the boxes must have valid geometry and containment on every page.

A 3 mm BleedBox does not prove that artwork reaches it. Separate geometric declaration from actual page content. If the file does not contain enough information, requesting a new export is safer than inventing artwork.

  • TrimBox, BleedBox, CropBox and MediaBox are valid on every page.
  • Bleed is sufficient and consistent, including on rotated pages.

2. Effective image resolution and embedded fonts

Useful image resolution depends on placed size, not only on the number stored in the source file. Enlarging an image in the layout can push it below the production threshold even when the original says 300 dpi.

Fonts should be embedded or deliberately converted to outlines in the source document. A missing font can be substituted by a viewer or RIP and alter line breaks, metrics or glyphs.

  • Full and subset embedded fonts are verified.
  • Transparency and masks are retained according to the production workflow.

3. CMYK, RGB, spot colors and total ink coverage

A print team needs to know which color spaces are genuinely used. RGB is not always an error—PDF/X-4 can carry characterized color—but any late conversion must be intentional and based on a printer-approved ICC profile.

Spot colors, white inks, varnishes and overprint require production context. Total area coverage must be compared with the printing process, stock and output profile; one universal limit cannot fit every job.

  • Maximum ink coverage is compared with the production profile.

4. PDF/X, output intent and file structure

PDF/X reduces ambiguity during exchange, but it does not replace the job profile. A PDF/X-4 file can still have the wrong dimensions, missing bleed, low-resolution images or an output intent that does not match the printing condition.

Check the PDF/X declaration, base PDF version, output intent, annotations, embedded actions and structural readability. An encrypted, truncated or uninspectable file must never become print ready by default.

5. Turn checks into a production decision

Every finding should lead to a clear outcome: accept, perform a deterministic correction or request human validation. Checks without context create noise, while aggressive corrections can create a technically valid but commercially wrong file.

READY should mean all blocking profile rules were verified after any correction. REVIEW should collect only exceptions that require an operator, with the expected value, detected value and affected page.
